Meeting Prep Agent

Walk in knowing everything.

A one-page brief lands in your inbox before every meeting — who they are, what they want, and what to accomplish.

The 10-hour meeting tax

Five meetings a week. Thirty minutes each of prep and follow-up — digging through email, checking the CRM, writing the recap. That is 10 hours a month of pure meeting overhead, none of it billable, all of it necessary.

And on the days it gets skipped, the cost just moves: you walk in cold, spend the first ten minutes rediscovering what you already knew, and the follow-up email goes out three days late — or never.

You have a meeting in an hour. Quick: what did they email you about last month? What did you promise them on the last call? What does their company actually do?

If answering that takes fifteen minutes of digging through your inbox, your CRM, and their LinkedIn — that's fifteen minutes per meeting, every meeting, forever. And on the days you skip it, you walk in cold and spend the first ten minutes rediscovering things you already knew.

Meeting Prep Agent does the digging so you never walk in cold.

An hour before every meeting on your calendar, it goes to work. It reads the attendee list, pulls your email history with each person, checks their record in your CRM, and looks at what their company has been up to. Then it writes a one-page brief and drops it in your inbox:

Who's in the room and what they care about. What's happened since you last talked. What they most likely want from this meeting. A suggested agenda. And the two or three things that would make this meeting a win.

Three minutes of reading replaces fifteen minutes of digging — or worse, no prep at all.

After the meeting, it closes the loop.

Forward your meeting notes or transcript to the agent, and it extracts the decisions, pulls out every action item with an owner, drafts the follow-up email to all attendees, and updates your CRM record. The follow-up that usually takes until "someday" goes out the same afternoon.

The math: If you take five meetings a week and prep plus follow-up costs 30 minutes each, that's 10 hours a month on meeting overhead. The agent hands most of it back — and makes you the sharpest person in every room while doing it.

Questions

How does it know what's relevant about each attendee?

It cross-references three sources: your actual email history with them, their record in your CRM, and public info about their company. The brief leads with what's most useful — a promise you made last call outranks a generic company fact every time.

What if I have back-to-back meetings all day?

Every meeting gets its own brief, each arriving an hour ahead. On stacked days you can also request a morning digest — one email covering every meeting on the calendar, in order.

Does it work for first-time meetings with people I have no history with?

Yes — that's where it shines. No email history means the brief leans on their company, their role, and any intake or inquiry info you have. You walk into a first meeting knowing more than most people know walking into a third.

How does the post-meeting part work?

Forward your notes, or the transcript from Zoom, to the agent. It returns decisions made, action items with owners and deadlines, open questions, and a drafted follow-up email to all attendees. You review, tweak if needed, send.

Which calendars and CRMs does it work with?

Google Calendar and Outlook for scheduling. HubSpot and Follow Up Boss directly for CRM, most others via Zapier. If you use something specific, mention it on the discovery call and we'll confirm fit.

How long until it's live?

Typically 1-2 weeks from discovery call to first brief. Setup call within a week of payment, configuration takes about a week, and your first brief lands before your next meeting after go-live.
